Service Description

The Web Conferencing service is based on Adobe Connect Pro and Flash and is being hosted by Carahsoft Technology Incorporated. An Adobe® Connect™ Pro Meeting is a live online conference for multiple users. The Web Conferencing solution consists of various display panels (pods) and components. There are several prebuilt meeting room layouts, or you can customize a layout to suit your needs. The virtual conference room enables multiple users, or meeting attendees, to share computer screens or files, chat, broadcast live audio and video, and take part in other interactive online activities. NCID has been integrated as the authentication system for the solution.

As a part of the overall solution to the State, Carahsoft is offering complimentary training seminars to introduce the new contract and help get you started using the service. Adobe Connect Pro brings real-world functionality to online meetings enabling organizations to communicate and collaborate instantly through easy-to-use and easy-to-access online personal meeting rooms.

During these training sessions, Carahsoft will discuss how to schedule meetings, upload content, run reports, create recordings, and manage attendees in an Adobe Acrobat Connect Pro meeting.

All solutions provided by Carahsoft include the following:

Hours of Availability

The Web Conferencing service is available to customers 24x7x365 based on 99.99% or better uptime, excluding planned outages, maintenance windows and unavoidable events. Maintenance windows are used only when needed for planned changes that have gone through the ITS Change Management Process. In addition to the Standard ITS Maintenance Windows, site-specific and service-specific changes may be coordinated with customers at non-standard times.

    Standard maintenance windows are defined:
    • 4:00 a.m. to 7:00 a.m. each Thursday
    • 4:00 a.m. to 12:00 p.m. each Sunday



Customer Responsibilities

Subscribers of this service will go to the ITS term contract page for all relevant information concerning the provisioning of this service.   • Subscribers of this service will call the Vendor for all training, support and purchasing questions. NCID support will be provided by the ITS service desk.
  • It is highly recommended that subscribers and users of this service subscribe to the ITS Customer Communications Hub to get updates on the status of NCID.

  • Subscribers of this service will use E-Procurement to order these services via the catalog. The subscriber will then indicate the type of seats to order and any optional services/items.
  • Ordering process
    1. Decide what kind of licensing you want based on your usage needs.
    2. Decide if you want to order any of the optional items; integrated PBX audio, Footprints, or plug-in.
    3. Call Josh Vance at 888.66.CARAH and get a quote with catalog numbers.
    4. Go to E-Procurement and select items (don’t forget to leave the order open for audio minutes if you are buying that option)

    5. Verify you have NCID access. All hosts and administrators of this service will need NCID accounts.
    6. Customers should sign up for the ITS Customer Communications Hub to get updates on the status of NCID.
    7. Provide a list of host names and administrators to the Vendor. Alternatively, you can send your hosts to the portal to login and then have your administrators assign them as a host.
    8. Provide logos to the Vendor for the branding process.
    9. Login to your new Agency portal with your NCID account.

How Do We Charge?

The contract is a statewide term contract for use by the executive state agencies of North Carolina. It may also be used by any municipal and county government as well as the North Carolina University System and its member campuses, Instructional components of the Department of Public Instruction, and Instructional components of the North Carolina Community College System.

    • All orders regardless of quantity will be filled within 3 days.
    • There are no minimums and no set up/onetime fees.
    • All Web Conferencing rates are set up for unlimited usage based on the rate model selected.
    • Web Conferencing billing will be based on a one-year subscription and will be billed at one time.
    • Audio Conferencing is an optional component based on monthly utilization. Audio Conferencing usage will be billed monthly.
    • Subscribers of this service will need to decide which rate model(s) fit there needs.
    • There are three rate models, Named User, Concurrent User and Event/Webinar. Named User license:
      • Named individual account
        • 100 participants per named user
        • 250 participants per named user
        • 500 participants per named user
      • Concurrent User
        • Offers flexibility for how shared seats are used
      • Event/Webinar (includes up to 500 participants). This rate model is transferable and not assigned to an individual.
